Privacy Policy

    SIFTR, LLC ("SIFTR," "we," "us," or "our") respects your privacy. This Privacy Policy explains what personal data we collect, why we collect it, who we share it with, how long we keep it, and what choices you have. It applies to siftrsales.com, any subdomain we operate, SiftrTools.com, the AI chat widget, our workshops and educational programs (including the SIFTR OS Program), our paid services (custom automation and software builds, implementation and integration services, retainers, advisory engagements, and BYOK SaaS tools), and our affiliate program (together, the "Services"). It works alongside our Terms of Service.

    1. Who you are when you interact with us

    Depending on how you reach SIFTR, you fall into one of these categories. This Policy covers all of them.

    • Visitors. You browse siftrsales.com, use the AI chat widget, read a blog post, download a free guide, register for the workshop, take a free evaluation call, or otherwise interact with SIFTR without buying anything.
    • Customers. You purchase a paid SIFTR service: a custom automation or software build, an implementation or integration package, a managed CRM sub-account, a monthly retainer, a BYOK SaaS tool at SiftrTools.com, an enrollment in the SIFTR OS Program, or any other paid offering.
    • Affiliates. You apply to or participate in the SIFTR affiliate program and refer customers to SIFTR.
    • End Recipients. A SIFTR Customer sends you an SMS, email, voice call, or other communication using a SIFTR-built or SIFTR-managed system. In that case the Customer is the controller of your data, and SIFTR acts as a service provider (data processor) to that Customer. See Section 4.

    2. What we collect and from whom

    2.1 From Visitors

    • Form submissions. Name, email, phone, business name, and any free-text you provide on the contact form, the workshop RSVP form, the guides signup form, the AI chat contact form, the affiliate application form, or any other form on the site.
    • AI chat transcripts. The messages you send to the AI chat widget and the responses produced by the underlying AI provider. Stored alongside any contact info you choose to share through the widget.
    • Device and browsing data. IP address, browser type, operating system, referring URL, pages visited, time on site, and similar telemetry.
    • Affiliate attribution. If you arrived through a /ref/{code} link or a ?ref={code} query string, we record the affiliate code, the timestamp, and the landing URL so we can attribute any subsequent purchase to the referring affiliate.
    • Marketing consent. If you opt in to SMS or marketing email, we record the timestamp and the exact consent language you saw.

    2.2 From Customers

    Everything in 2.1 above, plus:

    • Account and billing information. Business name, billing address, tax ID where applicable, and payment information. Payment card numbers are handled directly by Stripe; SIFTR never sees or stores full card numbers. We receive a confirmation, last-four digits, and other non-sensitive metadata.
    • Service configuration. Information needed to deliver your paid service, such as the contacts, conversations, opportunities, calendars, and content you upload into your Sub-Account; project briefs and assets for custom builds; API keys you connect for BYOK SaaS tools (stored encrypted at the product domain).
    • Communications with SIFTR. Support tickets, emails, chat messages, meeting notes, and any other correspondence.

    2.3 From Affiliates

    Everything in 2.1 above, plus name, email, phone, business name, social or website links, the affiliate code we issue you, click and conversion data attributed to your code, commission earnings, and payout details.

    2.4 From End Recipients

    When a SIFTR Customer sends you a message through a SIFTR-built or SIFTR-managed system, we may handle data about you (name, phone, email, message content, opt-in or opt-out signals) on behalf of that Customer. SIFTR is acting as a service provider to the Customer; the Customer is the controller of your data. See Section 4 for what that means in practice.

    3. Why we collect this data (legal bases)

    We process personal data:

    • To provide the Services you requested (contractual necessity). Examples: delivering the workshop magic link, provisioning your Sub-Account, routing the AI chat through the AI provider, tracking affiliate referrals to pay commissions.
    • For our legitimate business interests. Examples: securing the site, preventing fraud and abuse, improving the Services, sending you transactional notices, calculating commission for affiliates, analyzing aggregate site usage.
    • With your consent. Examples: sending you marketing SMS or marketing email (you can withdraw consent at any time), using cookies that are not strictly necessary, recording AI chat transcripts beyond the duration needed to deliver the response.
    • To comply with legal obligations. Examples: responding to lawful requests from courts or regulators, maintaining tax records, responding to data subject rights requests under CCPA, GDPR, and similar laws.

    4. End Recipients: SIFTR as service provider

    If you are an End Recipient (a person who receives a marketing or transactional message from a SIFTR Customer), the Customer is the controller of your personal data and is responsible for:

    • Obtaining your consent to receive messages, where consent is required (TCPA, GDPR, CASL, and analogous laws).
    • Publishing their own privacy policy describing how they collect, use, and share your data.
    • Responding to your requests to access, correct, delete, or opt out of marketing.
    • Maintaining records of consent and opt-out and complying with carrier and platform rules.

    If you want to exercise rights over your data held by a SIFTR Customer, contact the Customer directly. If you do not know who they are, reach out to us at support@siftrsales.com and we will route your request to the Customer where we can identify them.

    5. Marketing communications and consent

    When you sign up for the workshop, download a free guide, submit the contact form, or otherwise opt in, we may send you marketing emails and (with separate consent) marketing SMS messages. Each marketing email includes an unsubscribe link. You can also reply STOP to any SMS to opt out, or HELP for help. Even after you opt out of marketing, we may still send transactional messages about Services you actually use (magic links, RSVP confirmations, billing notices, support replies).

    Marketing nurture sequences (workshop RSVPs, guides signups, and other lead-gen flows) are delivered through our CRM and transactional email providers. See the sub-processor list in Section 8.

    6. AI chat data handling

    The AI chat widget on this site is powered by a third-party AI model provider. We collect and retain AI chat transcripts for lead processing and service quality improvement, including routing your inquiry to the right person at SIFTR, training our team, and refining the AI assistant.

    When you send a message:

    • Your message is sent to the AI provider to generate a response.
    • The transcript is stored on SIFTR's systems alongside any contact information you choose to share through the widget.
    • If you submit your contact information through the widget, the full transcript is included in the lead record we create in our CRM.
    • AI providers may retain inputs and outputs in accordance with their own privacy policies. We select reputable providers and configure data handling settings where available, but each provider processes data according to its own terms and privacy policy. See the sub-processor list in Section 8.

    Please do not enter sensitive personal information into the AI chat widget. That includes Social Security numbers and other government identifiers, full payment card numbers, bank account numbers, passwords, Protected Health Information, or any other data that requires special handling under law. The widget is not designed for that data, and entering it can expose you to unnecessary risk. If you need to share sensitive information with us, email support@siftrsales.com and we will provide a secure channel.

    AI-generated responses may be inaccurate, incomplete, or out of date. They are not legal, tax, financial, medical, or other professional advice. See the AI features section of our Terms of Service.

    7. Cookies, analytics, and tracking pixels

    We use cookies and similar technologies to operate the site, measure how it is used, and (with your consent where required) measure the performance of our advertising. The third-party services we use for these purposes are:

    • Google Analytics. Aggregate site analytics: pages visited, time on site, referral source, anonymized device and geographic information. Google's privacy policy: policies.google.com/privacy.
    • Google Ads. Conversion tracking for paid search campaigns on select landing pages. Same Google privacy policy as above.
    • Meta Pixel. Conversion tracking for Facebook and Instagram advertising. Meta's privacy policy: facebook.com/privacy/policy.

    You can opt out of personalized advertising at Google Ads Settings and Meta Ad Preferences, and you can manage cookie behavior through your browser. SIFTR honors "Global Privacy Control" signals where required by law.

    8. Sub-processors and third-party providers

    We use the following third-party providers to deliver the Services. Each of them has its own privacy policy, and you are encouraged to review it.

    • GoHighLevel (HighLevel Inc.): CRM, SMS, voice, email, calendars, automations, and Sub-Account hosting. Privacy policy.
    • Stripe: payment processing for paid Services. Privacy policy.
    • Resend: transactional email delivery (workshop confirmations, magic links, receipts). Privacy policy.
    • Anthropic (Claude): AI model provider for some AI features. Privacy policy.
    • OpenAI (GPT): AI model provider for the AI chat widget and certain features. Privacy policy.
    • Google (Gemini and AI services): AI model provider for certain features, plus Google Analytics and Google Ads tracking as described in Section 7. Privacy policy.
    • Meta (Facebook): conversion tracking pixel as described in Section 7. Privacy policy.

    We may add, remove, or replace sub-processors over time. Material changes will be reflected in updates to this Policy.

    9. How we share data

    We share personal data:

    • With the sub-processors listed in Section 8, only as needed to deliver the Services.
    • With our affiliates, when you are referred by one of them and you complete a purchase (we share enough information to attribute the commission, not the full lead record).
    • To comply with law or respond to lawful requests from courts, regulators, or law enforcement.
    • To protect our rights, safety, and property, or those of our customers, affiliates, employees, or the public.
    • In connection with a business transaction, such as a merger, acquisition, or sale of assets, in which case the recipient will be bound by this Policy until they update it.

    We do not sell your personal data for money, and we do not share your personal data with third parties for their own independent advertising purposes. Use of Google Analytics, Google Ads, and the Meta Pixel may be classified as "sharing" under some U.S. state privacy laws (CCPA/CPRA, VCDPA, and similar); you can opt out as described in Section 7.

    9.1 Mobile information and SMS consent

    No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. We do not sell, rent, or purchase messaging consent data.

    10. Your rights and how to exercise them

    Depending on where you live, you may have rights to:

    • Know what personal data we hold about you and what we do with it.
    • Access a copy of the personal data we hold about you.
    • Correct inaccurate personal data.
    • Delete your personal data in certain circumstances.
    • Restrict or object to certain processing of your personal data.
    • Withdraw consent you previously gave.
    • Opt out of marketing communications and of "sharing" of your data with advertising partners.
    • Not be discriminated against for exercising these rights.

    To exercise any of these rights, email support@siftrsales.com from the email address associated with your interaction with SIFTR, or write to the mailing address in Section 15. We may need to verify your identity before fulfilling the request. We will respond within the timeframes required by applicable law (typically 30 to 45 days).

    For end-recipient data we process on behalf of a SIFTR Customer, contact the Customer directly (see Section 4).

    10.1 Nevada residents (SB 220)

    Nevada residents have a specific right under Nevada SB 220 to direct a business not to sell certain personal information. To submit a "do not sell" request under Nevada SB 220, email support@siftrsales.com with the subject line "Nevada SB 220 Opt-Out" from the email address associated with your interaction with SIFTR. We will verify the request and respond within the timeframe Nevada law requires. As stated above, SIFTR does not sell personal data for money in the ordinary course; this section gives Nevada residents a direct channel to make that election in writing.

    11. Data retention

    We keep personal data only as long as we need it to provide the Services and comply with our legal obligations. Specifically:

    • Form submissions and lead records: retained for as long as you remain a contact or customer, plus a reasonable archival period afterward (typically up to 7 years for accounting and tax purposes).
    • AI chat transcripts: retained on our systems for analytics and support purposes; you can request deletion at any time.
    • Managed CRM Sub-Account data (if you purchase a SIFTR-managed CRM sub-account): retained for up to 90 days after cancellation or termination to allow reactivation, after which it may be permanently deleted. See the Managed CRM Sub-Account Addendum in our Terms of Service.
    • Payment records: retained as required by tax and accounting law.
    • Marketing consent records: retained for the life of the consent and a reasonable period afterward to demonstrate compliance with TCPA, GDPR, and similar laws.
    • Affiliate clicks and commission records: retained for the duration of the affiliate relationship and a reasonable archival period afterward.

    12. International data transfers

    SIFTR is based in the United States, and our sub-processors operate in the United States and other countries. If you are located outside the United States, your personal data may be transferred to and processed in the United States and other countries that may not provide the same level of data protection as your home country. Where required by law, we rely on legally recognized transfer mechanisms (such as the EU Standard Contractual Clauses) for international transfers.

    13. Security

    We use reasonable administrative, technical, and physical safeguards to protect personal data from unauthorized access, disclosure, alteration, or destruction. No system is perfectly secure, however, and we cannot guarantee the security of information transmitted to or from the Services. If you believe your interaction with SIFTR is no longer secure, contact us immediately at support@siftrsales.com.

    14. Children

    The Services are intended for adults using SIFTR in a business context. We do not knowingly collect personal data from children under 13 (or under 16 where required by local law). If you believe a child has provided us with personal data, contact us and we will delete it.

    15. Updates to this Policy

    We may update this Policy from time to time. The "Last updated" date at the top indicates when we last revised it. Material changes will be communicated through the Services, by email, or by another reasonable means. Your continued use of the Services after the effective date constitutes acceptance of the updated Policy.
